While we do require premium fees for our premium services, the investment is always worth it. We provide bespoke, white-glove services to locate and retrieve the treasured objects of your most challenging requests.

This often requires a great many steps to execute properly—from item research, identification, and location to travel and lodging to item documentation for export and import to legal paperwork and formalities—things don’t always go smoothly. Occasionally, even some government agency negotiation is necessary!

Unfortunately, due to the investment in time and the specialized skills needed, we cannot accommodate every request. A screening process is the first step in making any request with Hiyama Traders. We appreciate referrals from respected clients.

  1. All requests must be legal in both the United States and any other countries involved in the location and retrieval process.

  2. Potential clients must first speak to a member of the Hiyama Traders team via telephone for an initial evaluation of the project to be requested. Hiyama Traders will then review the potential client’s information and request. If we believe we can accommodate the potential client, an in-person consultation will be scheduled and a member of the Hiyama Traders team will travel to city of the potential client’s choosing to meet. During the consultation, the prospective project will be discussed in more detail. Additional information about the prospective client may also be requested. A tentative fee quote for services will later be calculated and shared with the potential client.

  3. The potential client must agree upon fees to be remitted to Hiyama Traders for completion of the requested commission, and enter a legally binding contract specifying the terms of the commission and associated fees. Administrative fees plus fifty percent of the commission fees must be paid up-front. The remaining fifty percent of commission fees must be paid upon the client’s receipt of the object requested. As they arise, additional fees for unforeseen incidentals may also be charged to the client.

  4. Hiyama Traders reserves the right to refuse any request at any time for any reason under any circumstances and during any point in the commission process. If a client has already paid fees and Hiyama Traders initiates the cancelation of service due to reasons for which the client is not at fault, a refund minus any administrative fees will be issued to the client. If the cancelation is due to a breach of the agreement between the client and Hiyama Traders, no refunds will be issued.

  5. Cancelations by a client after the commission process has begun will be settled by way of a refund minus administrative fees and any funds used to carry out the commission up to the point of cancelation, including agent fees.

  6. Hiyama Traders shall under no circumstances be responsible for any consequences arising as a result of clients gaining, having, or maintaining possession of items delivered by Hiyama Traders as per the clients’ requests.

At Hiyama Traders, we respect the privacy of our clients and we deeply value our relationships with each of them. Our reputation and our agents are our greatest assets. We will never disclose the identities or requests of our clients. We will never share or sell client data for any reason.
